AI Use Disclosure Guide

Section 1

What counts as "AI use"

AI use in scholarly work covers several different categories. The key rule is simple: if AI materially shaped the manuscript, the analysis, the code, or the visuals, the use should be disclosed clearly.

Writing support

Drafting, rewriting, summarising, or generating parts of the manuscript such as an abstract or conclusion count as AI use. Disclosure is usually required when the contribution is substantive.

Language polishing

Grammar correction, readability improvement, translation support, and style editing fall into this category. Disclosure is recommended and may be required if the assistance is extensive.

Coding and analysis

Generating code, suggesting methods, writing data-cleaning scripts, or debugging analysis workflows requires disclosure. Authors must validate all code, outputs, and conclusions themselves.

Figures and visual materials

If AI creates or modifies figures, diagrams, or other visuals, disclosure is required. AI must not be used to change the interpretation of empirical results.

Peer review or editorial communication

Using AI in peer review or editorial communication is generally prohibited unless a journal explicitly allows it and confidentiality is fully protected.

Section 2

What is not allowed

AI must not be used in ways that undermine research integrity or publication ethics.

  • Fabricating data, experiments, results, or participant responses.
  • Inventing references, DOIs, citations, or quotations.
  • Manipulating images to misrepresent findings.
  • Writing the paper in a way that authors cannot understand or verify.
  • Producing fake peer-review identities or reviewer suggestions.
  • If any of the above occurs, the manuscript may be rejected and further action may be taken under publication ethics procedures.

Section 3

Where to disclose AI use

Use one or more of the following disclosure locations depending on how AI was used in the work.

A

Methods

Required if AI influenced analysis or code. This includes data processing scripts, statistical analysis assistance, model selection guidance, or code generation.

B

Acknowledgements

Recommended when AI was used mainly for language editing or translation. A short statement in Acknowledgements is usually sufficient in that case.

C

Dedicated AI Use Disclosure section

You may include a short AI Use Disclosure section before the references list with a concise statement describing the tool and its role.

D

Cover letter

Mention AI use in the cover letter if the journal requests it or if AI materially shaped the manuscript.

Section 4

What a disclosure must include

  • Tool name, for example ChatGPT, Claude, or Gemini, and the version or date if available.
  • Purpose of use, such as language editing, code assistance, or figure creation.
  • Scope of use, meaning which parts of the work were affected.
  • A human verification statement confirming that the authors checked the output and take responsibility for the final work.

Section 5

Copy-paste disclosure templates

Template 1 - Language editing only

We used [Tool name] to assist with language editing and readability improvements. All scientific content, interpretations, and references were reviewed and verified by the authors. The authors take full responsibility for the final manuscript.

Template 2 - Coding assistance

We used [Tool name] to assist with drafting and debugging code for [task, for example data cleaning or regression analysis]. All code outputs and results were validated by the authors. The authors take full responsibility for the analysis and conclusions.

Template 3 - Literature summarization

We used [Tool name] to support the initial summarization of publicly available literature. All summaries were verified against the original sources, and citations were checked for accuracy. The authors take full responsibility for the content and references.

Template 4 - Figure or diagram creation

We used [Tool name] to generate [type of figure or diagram] for illustrative purposes. The figure does not alter or misrepresent empirical results. The authors reviewed the figure for accuracy and take full responsibility for its content.

Template 5 - No AI used

No AI tools were used in writing, analysis, or figure preparation for this manuscript.
